Hiring in Gujarat: Recruitment Agency Fees, Payroll Outsourcing and When Each Makes Sense
Success-fee recruitment at 8.33%, third-party payroll at 6%, or a flat fee per hire — what each costs, what you get, and a simple rule for choosing between doing it yourself and handing it over.
Most SMEs in Gujarat hire on their own until they hit a role they cannot fill or a headcount they cannot administer. This is the point where agencies and payroll partners enter, and where owners are most likely to overpay for the wrong service. Here is how the three models actually work.
1. Success-fee recruitment (8.33% of annual CTC)
You pay only when a candidate joins — one month's salary is the industry standard, hence 8.33%. The agency sources, screens and schedules; you interview and decide. Most contracts include a free replacement if the hire leaves within 60–90 days. Use it for: mid-to-senior roles, niche skills, or when your HR bandwidth is the bottleneck.
2. Third-party payroll (5–8% of monthly cost)
The staff are on the partner's books; you direct the work. The partner handles PF, ESIC, payslips, compliance filings and exit formalities. Use it for: contract staff, seasonal headcount, roles you want to trial before a permanent offer, or when you have crossed the PF/ESIC thresholds and do not want the compliance load in-house.
3. Fixed fee per hire
A flat amount agreed before the search — typically ₹5,000–25,000 for junior and volume roles. Predictable, and cheaper than a percentage for lower salaries. Use it for: bulk hiring, freshers, shop-floor and retail roles.
A rule of thumb
If the role's salary is under ₹25K/month and you need more than five of them, use fixed-fee or your own posting. If it is a single specialist over ₹6 LPA, success-fee recruitment usually pays for itself in time saved. If the headcount is temporary or compliance-heavy, payroll outsourcing.
